Policies

Effective February 2005

  • The William Pitt Union Technical Services Department is under the jurisdiction of the William Pitt Union Building Management, the Office of Student Life, and the Division of Student Affairs at the University of Pittsburgh. Coordination of Technical Services for events being held at the William Pitt Union is the primary responsibility of the William Pitt Union Technical Services Department. Technical Services are administrated through the Technical Manager and/or the Assistant Technical Manager only. In the event that technical needs exceed the capacity of the Technical Staff, the Technical Manager will advise the client on how to obtain additional support through external sources.

  • Requesting technical support is the responsibility of the person(s) organizing the event. Requests can be made after receiving a confirmation from the WPU Reservations Office. The Technical Staff can be reached at 412-648-7821, M-F 8:30 am - 5:00 pm.

  • Requests must be made two (2) weeks prior to the date of the event. The organization sponsoring the event is responsible for contacting the Technical Staff at 412-648-7821 or ordering online. You must have a confirmation from the Reservations Office to place an order. Requests placed less than one (1) week prior to the event will be charged a $25 late fee.
  • Additional equipment and support for events requested after the one (1) week cut-off period will be solely at the discretion of the Technical Manager. Last minute equipment requests will be solely at the discretion of the technician working the event. Only the technician assigned to the event is allowed to operate the audio/visual equipment. Damages to, or loss of equipment caused by the client will be billed to the account number provided on the facilities request form. Any disputes with the Technical Staff technician can be redressed with the Technical Manager on the next business day after the event.

  • University Departments and Academic Centers are charged for all services to the account number provided on the Facilities Request Form. Documentation of these charges is provided when requested. Organizations from outside the University paying for services for a University co-sponsored event cannot be billed directly. Charges must be billed to the University Department co-sponsoring the event.

  • All Student Organizations registered with the Office of Student Life, through the Student Organization Resource Center (SORC), may be provided with technical support at no charge, but must follow the same guidelines as set forth through these policies. Student Organizations requiring technical support that exceeds basic microphone or projection setups may be charged for these services at the Technical Manager's discretion.

  • It is the responsibility of the Sponsoring Organization to notify the Technical Manager when an event is cancelled. All cancellations must be made 48 hours in advance of the event. If cancellation notice is not provided to the Technical Manager, the Sponsoring Organization will be charged for all labor costs based on the number of hours of the original reservation, 1 hour of setup/teardown time and equipment rental fees.

  • All staffing of events must include one (1) hour of setup/teardown time. If more time is needed or requested, the Sponsoring Organization will be notified of the additional time and cost.

  • Events of a live entertainment nature (ie. concerts, fashion shows, talent shows, plays, etc.) require an extra level of coordination between the client and the Technical Staff. For this reason, a technical rider, a written list of performers and equipment needed, must be provided to the Technical Manager. Riders may be delivered to the William Pitt Union Building Management Office located in M3 William Pitt Union. It is also necessary for the event coordinator to contact the Technical Manager two (2) weeks prior to the event.
